about the role
We're seeking a detail-oriented and proactive Program Assistant to support our US Food System Reform program. In this role, you'll be the operational backbone of the fellowship, ensuring that fellows, host organizations, and training programs run smoothly from start to finish. You'll manage everything from contracts and logistics to training coordination and administrative systems, enabling fellows to focus on their mission of transforming America's food system.

Key responsibilities
Fellow & Host Organization Support
- Execute fellow and host organization contracts, ensuring all parties are aligned and administrative requirements are met
- Provide comprehensive logistics support to fellows, including travel arrangements, accommodation bookings, and materials coordination
- Manage ongoing communications with fellows and host organizations, serving as a reliable point of contact
- Coordinate the onboarding process for new fellows and host organizations, creating a welcoming and organized start to each fellowship cohort
Training Program Logistics
- Coordinate all logistics for cause-area training programs, including securing venues, preparing materials, arranging catering, and liaising with speakers
- Manage training schedules and ensure smooth coordination among all participants
- Support curriculum implementation by ensuring training resources are accessible and logistical needs are met
Administrative Support
- Maintain organized project management systems in Asana to support the Project Manager and keep operations running efficiently
- Track deadlines, deliverables, and key milestones across the program

Qualifications
- 1-3 years of experience in program coordination, operations, or administrative support (or equivalent transferable experience)
- Demonstrated ability to manage logistics for events, programs, or training initiatives
- Experience with project management tools (Asana experience preferred, but not required)
- Strong written and verbal communication skills
- Comfortable working independently in a remote environment
- Interest in or knowledge of US food system issues strongly preferred
